Scope of Work
The Logistics & Operations Officer is responsible for planning, managing, and monitoring all logistics and supply-chain functions for kitchen operations. This includes the procurement, storage, issuance, tracking, documentation, and quality control of food commodities such as flour, rice, pulses, oil, spices, and other consumable items. The role ensures uninterrupted kitchen operations through effective stock management and timely supply.
Key Responsibilities
- Plan weekly and monthly supply needs in coordination with the Kitchen Supervisor and Management.
- Ensure uninterrupted availability of flour, rice, vegetables, pulses, spices, oil, and all required edible items.
- Coordinate with vendors for timely procurement and delivery of supplies.
- Monitor consumption patterns to forecast demand.
- Maintain updated stock registers (manual or digital) for all food items and kitchen materials.
- Oversee storage conditions to ensure proper stacking, ventilation, and pest-free environment.
- Implement FEFO / FIFO (First Expiry First Out / First In First Out) practices.
- Conduct daily, weekly, and monthly physical stock counts of:
- Commodities- Food Items: Flour, Rice, Pulses, Oil, Spices
- Packaging items & Cleaning materials
- Track stock variances and investigate discrepancies.
- Inspect items upon arrival to ensure they meet quality standards (cleanliness, packaging, expiry).
- Reject spoiled, expired, or substandard materials.
- Coordinate with Food Safety Officer for quality checks and hygiene compliance.
- Maintain GRNs (Goods Received Notes), waybills, and stock issue forms.
- Prepare daily consumption reports and weekly stock reports.
- Keep delivery records of items issued to the kitchen and packing units.
- Prepare monthly supply chain and logistics analysis for management.
- Support the distribution team by ensuring timely availability of tiffins/lunch boxes, food containers, packing material, etc.
- Supervise loading/unloading of edible supplies and meal containers.
- Coordinate with Transport Supervisor when food is being dispatched.
- Maintain relationships with suppliers and service providers.
- Review quotations, verify prices, and assist in procurement documentation.
- Ensure timely payments through coordination with finance.
Required Qualifications & Skills
- Bachelor’s degree in Supply Chain, Business Administration, Logistics, or related field.
- Prior experience in warehouse, inventory, logistics, or food operations preferred.
- Strong MS Excel and stock management skills.
- Knowledge of food storage requirements (temperature, humidity, safety).
- Excellent communication and coordination skills.
- Reliable, organized, and detail-oriented.
- Strong integrity in handling food stocks and materials.
- Ability to work under pressure and meet deadlines.
